How to write a CNC machining RFQ that suppliers can quote accurately

A practical engineering and procurement checklist covering revision control, CAD data, tolerances, materials, quantity breaks, inspection, finishing, packaging and delivery.

A strong CNC machining RFQ should let a competent supplier understand the technical scope, commercial scope and delivery expectation without having to reconstruct the requirement through repeated emails. The objective is not simply to obtain a price; it is to obtain quotations that are technically aligned and commercially comparable.

Start with a clear part name, drawing or part number, and the current revision. State which document controls if the PDF drawing, 3D model and written RFQ notes conflict. Upload a neutral CAD format such as STEP where it will help programming or manufacturability review, but retain a controlled drawing for dimensions, tolerances, surface finish and inspection requirements.

Specify the material by a recognised grade and standard rather than a broad family. For example, use 316L to the required material standard rather than only 'stainless steel'. State whether material certification is required, whether substitutions are permitted and whether the supplier is expected to source material or use free-issue stock.

Identify critical dimensions, geometric tolerances, threads, sealing surfaces and datum structures. Avoid applying unnecessarily tight general tolerances to every feature. Highlight characteristics that drive function so suppliers can assess process capability, inspection effort and manufacturing risk correctly.

State all required special processes and finishes, including coating standard, heat treatment, passivation, plating, paint system, colour, masking and surface preparation. Clarify whether the machining supplier is responsible for managing subcontract processes and providing the complete certification pack.

Use realistic quantity breaks. Typical examples are prototype quantity, first production batch and expected repeat batch. Explain annual usage where it affects tooling, fixturing, programming or material purchasing. A supplier may price the same component very differently for 5 pieces, 50 pieces and 500 pieces.

Define the inspection and documentation requirement before quotation. State whether you need a certificate of conformity, material certificates, first article inspection, CMM report, full dimensional report, PPAP, FAIR or process certificates. Inspection effort can be a significant proportion of cost on precision components.

State the required delivery date, delivery location, packaging standard and whether partial deliveries are acceptable. Separate the quotation deadline from the required delivery date. If the delivery is urgent, explain the business constraint rather than relying only on an aggressive date.

Include commercial assumptions that could otherwise make quotations incomparable: currency, delivery terms, tooling ownership, minimum order quantities, payment expectations, quote validity and whether carriage should be included. Ask suppliers to identify exclusions and deviations explicitly.

Before release, check that every line item has a quantity, drawing reference and clear scope. Remove obsolete files, mark the controlling revision and decide whether drawings require confidentiality acceptance or restricted supplier distribution. A controlled RFQ pack reduces clarification time and improves the probability of receiving usable quotations by the deadline.

Build a controlled technical pack

Treat the RFQ pack as a controlled engineering release, not a collection of attachments. Start with an index showing each file name, document number, revision, purpose and whether it is a controlling document or reference information. Remove superseded revisions from the pack rather than relying on the supplier to identify the newest file.

Where a 3D model is supplied, define its authority. A common and workable hierarchy is that the 2D drawing controls tolerances, surface requirements, notes and acceptance criteria, while the model supplies nominal geometry. For model-based definition, state the required software format, model revision and the method used to communicate product-manufacturing information.

Make the quotation return format explicit

A supplier can only return a comparable quotation when the buyer defines the requested commercial breakdown. Ask for unit prices by quantity break, one-off programming or tooling charges, material lead time, manufacturing lead time, quotation validity, payment terms, delivery basis and any minimum-order value. Require deviations and exclusions to be listed in a dedicated section rather than hidden in general terms.

For multi-line packages, require each item to be quoted independently and request a package total separately. This prevents a low package figure masking an unquoted or qualified line. Where annual demand is expected, distinguish forecast demand from the firm quantity being ordered so the supplier can propose sensible batch sizes without assuming a volume commitment.

Use a risk-based inspection requirement

Inspection requirements should reflect product risk and process maturity. Requiring a full dimensional report on every characteristic for every batch can add unnecessary cost, while relying only on a certificate of conformity may be inadequate for a safety-critical or first-of-type component. Define the inspection evidence needed for prototype, first production and repeat supply separately.

Where characteristics are critical to function, identify them on the drawing and state the expected reporting method. Clarify whether inspection records must show actual measured values, whether calibrated-equipment traceability is required, and whether the buyer reserves witness or source-inspection rights. State the required document language and whether the certification pack must arrive before the goods.

Run a final pre-release review

Before publishing, review the RFQ from the position of a supplier estimator who has no access to internal knowledge. Confirm that every acronym is understood, every referenced specification is available, every quantity is unambiguous and the quotation deadline leaves enough time for material and subcontract enquiries. A deliberately complete pack usually produces faster clarification, better supplier participation and fewer commercial surprises after award.
